At ProductLife Group (PLG)’s Denmark affiliate, Pharma IT, we are looking for a Training & Office Coordinator to support our Training Services offering in Denmark and help manage our Copenhagen office. This is an excellent opportunity for someone early in their career who wants to develop their coordination, administration, and stakeholder management skills in an international consulting environment.
You will report to Global Training Services Lead, Monika Hippova, and collaborate closely with other members of the Training Services Team as well as with Regional HR Director, Naomi Jade Kellogg.
What you’ll be doing
As our Training & Office Coordinator, you’ll play a key role in ensuring the successful delivery of training programmes at the Pharma IT Academy while helping create a welcoming and efficient workplace for employees and visitors.
Training Coordination & Administration
You will:
- Coordinate and administer training programmes from start to finish
- Manage training schedules, registrations, participant communications, and attendance tracking
- Be the primary contact for participants and instructors
- Organise training facilities, logistics, travel arrangements, and materials
- Support both classroom and virtual training sessions
- Issue certificates and maintain training records
- Generate reports and participation statistics
- Create content for marketing channels such as LinkedIn and support customer lead-generation activities
Training Materials & Documentation
You will:
- Prepare and maintain training materials and participant packs
- Ensure branding consistency across presentations, templates, and documents
- Manage version control and document organisation
- Coordinate printing, inventory management, and supplier deliveries
Office Administration & Employee Experience
You will:
- Support the daily operation of our Copenhagen office
- Coordinate office supplies, facilities, maintenance, and vendor relationships
- Help create an engaging workplace experience through social events and office initiatives
- Support employee onboarding, access management, and welcome activities
- Assist with office hospitality and visitor experience
Required education:
We are looking for candidates with a vocational or practical educational background, such as Office Administration (Kontoruddannelse), Business Administration (Erhvervsuddannelse), Service Economics, or Event Coordination
Required experience :
Early in their career with 1-3 years of relevant experience, including student assistant or student worker experience
Required languages: English and Danish
Required technical skills:
- Excitement about working on-site! This position requires you to be at our offices in Skelbækgade or on-site for trainings
- Highly organised with strong attention to detail
- Comfortable managing multiple priorities simultaneously
- Service-oriented with excellent communication skills
- Proactive, self-driven, and able to work independently
- Skilled in Microsoft Office applications
- Interested in creating outstanding customer and employee experiences
